Create purchase orders in Fred NXT Head Office
Inventory and Purchasing
Purchase orders are compiled externally in a pre-formatted spreadsheet, then imported into Fred NXT Head Office using the Data Import/Export Framework (DIEF). They can be sent manually or electronically using PharmX.
Contact your vendor to set up PharmX details. Once set up in PharmX, the account is available for linking to your vendor in Fred NXT Head Office.
- Under Inventory and purchasing on the AX Dashboard, click PharmX, then Dashboard.
- Double-click to open the vendor card.
- Click the Setup tab. then Vendor links.
- From the Store number the drop down, select the relevant store, then click Add Line.
- Select the Vendor Account, Vendor name and Account name.
To view all PharmX Accounts available, click PharmX Accounts under the Setup tab.
Your spreadsheet must be in .CSV format to import into Fred NXT Head Office. If you are using this process to update products, you must supply values for ALL the fields, as the process will override details in your system. Blank fields in the spreadsheet will lead to blank data in Fred NXT Head Office).
- Under Data Import Export Framework or Data Sync, click Processing Group.
- Click GroupsPurchaseOrder, then Get staging data, then OK.
- Click to browse and select the file for import.
This will bring the file into staging. From here you can click Preview then Details to view the details (if required).
- Click to browse and select the file for import.
The .CSV import file is now staged.
- (Optional) Click Preview, then Details to view the import file.
- When ready, click Run.
- Select the Batch Group.
It is best to run this process as a batch, otherwise you may be locked out of the client until this process is performed.
A prompt is displayed when the process is completed.
- Click Close.
- Click Copy data to target menu.
- Select the Job ID and click OK to import the data.
- At the completion prompt, click Close.
- Click Execution History to view the details of the jobs, including the Info log with error messages.
If required, right-click the error messages to copy them to the clipboard.
- Under Inventory and purchasing on the Fred NXT Head Office Dashboard, click All purchase orders.
To find a specific purchase order, click CTRL+G to display the search filter.
- In Inventory and purchasing, click All purchase orders.

- Select the purchase order.
- Click the Purchase tab, then Confirm.
The Approval Status changes from Approved to Confirmed.
- Under Inventory and purchasing, click PharmX, then Dashboard.
- From the Orders tab, select the order(s) to be sent, then click Send.
The order status changes from Unsent to Polling.
Once an invoice is received, the status will change from Polling to Invoiced. If no invoice is received from PharmX within 10 minutes, the order status will be set to Expired, allowing it to be resent. Additionally, the purchase order’s Approval Status is changed from Approved to Confirmed.
If the order is received at the store, refer to in Fred NXT Office.
- In Inventory and purchasing on the Fred NXT Head Office Dashboard, click All purchase orders.
- Select the purchase order.
- Click the Receive tab, then Product receipt to display the receipting screen.
- In the Overview tab, enter the Product receipt number.
- Click the Lines tab and enter the Quantity you are receiving for each product line.
- Once complete, click OK.
The Status of the purchase order changes from Open Order to Received.
- In Inventory and purchasing on the Fred NXT Head Office Dashboard, click All purchase orders.
- Select the purchase order.
- Click Invoice tab, then Invoice.
- Update the unit price for all products (as applicable).
- Once complete, click Post (twice).
Fred NXT Head Office displays a Confirmation message.
- Click Close.
The purchase order Status has been changed from Received to Invoiced.
In Fred NXT Head Office, Purchasing Managers have been granted additional privileges to edit or cancel items that have been incorrectly received against purchase orders.
- From the Dashboard, click Inventory and purchasing then All purchase orders.
- Select a Purchase Order with a receipt.
- In the Receive tab, select Product Receipt.
- Click Correct, then adjust the Quantity.
- Click Close to save your changes

Click Cancel to cancel the entire receipt.
