Changing Approval Number

To avoid any interruption in trading at full capacity, it is important that you give Fred plenty of advance notice.

New Owners

  • Notify Fred well in advance, so that a booking with a Fred Consultant can be made.
  • Register with www.erx.com.au for eRx functionality.
  • Make preparations for enabling PBS Web Services:
    • Confirm the new Approval number is linked to the PBS Online service on PRODA and that the service is added and Active under the Organisation.
    • Make sure you have authorised access to PRODA on the day of CoA to activate B2B device. Alternatively, generate B2B device beforehand, and have all details accessible (PRODA RA, Device Name, Device Activation Code).
  • Ensure site PKI or NASH PKI certificate along with its PIC is available on day of CoA for installation to enable eRx and HI services, or if preferred - install NASH PKI beforehand. See NASH Certificate for details.
  • Consult with your telephone and internet service providers.

Current Owners

  • Register with www.erx.com.au for eRx functionality.
  • Make sure you have authorised access to PRODA on the day of CoA to activate B2B device. Alternatively, generate B2B device beforehand, and have all details accessible (PRODA RA, Device Name, Device Activation Code).
  • Claim any outstanding owing scripts and scripts on hold.
  • The final PBS claim must be closed before the change of Approval Number.
  • Download any outstanding PBS Online statements.

Advance notice is required to mitigate the impact on trade on Day 1.

You cannot dispense until the last claim with your old Approval Number has been finalised. You can dispense without delay on Day 1.
If the change of approval number coincides with the start of the month, this is a busy time for Fred Help. Responses may be delayed due to call volume. The last claim is completed before the change, so there is no hindrance the next morning.
If the new Approval Number has not been registered with eRx, we have to turn eRx off until the new registration is completed. PKIs and eRx details can be updated with one call to Fred Support provided that eRx registration is completed and certificates are installed or ready for installation. This will ensure that eRx service is immediately available.

Why Can't I Download Old PBS Online Statements after a Change of Approval Number?

After a change of approval number, old PBS Online statements will no longer be available for downloading in Fred Dispense.

Fred Connect cannot download statement information for an old approval number. Once a change of approval number has been undertaken, statement information can only be downloaded for the current approval number.

Outstanding PBS Online statements should be downloaded prior to a change of approval. Otherwise, you will need to contact Medicare Australia to request any required statements.
